How managed IT is priced
Per user
The most common model. One monthly price per employee covers their support and devices. It's simple to budget, and it rises and falls with headcount.
Per user plus per device
A per-user fee plus charges for each computer, server, or mailbox. It's more precise if your users have several devices or you have shared machines.
Tiered packages
Several bundles at different price points, from security-only coverage up to fully managed IT. Compare what each tier leaves out, such as help desk or server support.
Co-managed
Lower per-user pricing because you keep your own IT staff and the provider covers less. One local estimate is $75–$150 per user per month.
Hourly (break-fix)
You pay only when something breaks. It's cheap in a quiet month, but there's no monitoring or patching between calls, and some providers no longer offer it.
Flat monthly fee
One fixed price for the whole business, set after an assessment. It's predictable, but ask how the price changes as you grow.
What moves your price up or down
Two Orange County businesses with the same headcount can get very different quotes. These are the usual reasons.
- Compliance requirements. CMMC, HIPAA, PCI DSS, or client security questionnaires add documentation, tooling, and reporting.
- Servers and on-site equipment. On-premises servers, firewalls, and phone systems take more work than a cloud-only office.

A one-time fee to document and secure your environment. Some providers waive it for a longer term.
Projects
Office moves, migrations, and new servers are often quoted separately or billed hourly.
Software licenses
Microsoft 365 and some security tools may be billed on top of the managed IT fee.
Hardware
Computers, firewalls, and network gear are almost always extra.
After-hours work
Emergency or scheduled after-hours work may carry a higher hourly rate.

Why don't most managed IT providers publish their prices?
