New Hires Ready on Day One. Departures Locked Down the Same Day.
HD Tech manages the IT side of every hire and every departure for our clients — accounts, hardware, access, and security — so nothing falls through the cracks on a new employee's first day, or a departing employee's last one.
Day One, Done Right
Accounts, hardware, and access ready before your new hire sits down — not scrambled together that morning.
Account & Email Provisioning
Microsoft 365 or Google Workspace account created, email configured, and group memberships assigned before the new hire's first login.
Hardware & Software Setup
Devices imaged, software installed, and licenses assigned — coordinated with our hardware procurement process when new equipment is needed.
Access & Permissions Mapping
Role-based access granted to exactly the systems, shared drives, and applications the position requires — no more, no less.
Security Baseline Applied
MFA enrollment, endpoint protection, and security awareness training enrollment happen before the new hire ever touches company data — not after.
Documentation & Sign-Off
Every account created and permission granted is logged against the employee's record, so there's a clean audit trail from day one.
Access Gone the Moment They're Gone
A former employee with active access is one of the most common — and most preventable — paths to a data breach.
Immediate Access Revocation
Accounts disabled and active sessions terminated across email, VPN, cloud apps, and shared systems the moment we're told someone is leaving.
Credential & MFA Teardown
Passwords reset, MFA tokens revoked, and personal-device access removed so a departing employee can't reach company systems from home.
Email & Data Handling
Mailbox and file access transferred or archived per your retention policy — nothing gets deleted by accident, and nothing stays open by accident.
Equipment Recovery
We coordinate the return of company laptops, phones, and peripherals, and confirm every device is wiped before it's reassigned to anyone else.
Compliance Documentation
A timestamped record of every access change — ready for HIPAA, CMMC, SOC 2, or cyber-insurance audits that ask how you handle departing employees.
The Plain-English Promise™
You tell us who's starting and who's leaving. We handle every account, device, and permission in between — and tell you exactly what was done, in plain English, not a ticket number.
Onboarding & Offboarding FAQs
Is this included with Managed IT, or is it a separate service?
It's included. Onboarding and offboarding are handled as part of your Managed IT or Co-Managed IT agreement — not sold as a standalone service. Submit a request through the Cyber Lifeguard Chat Bot, just like any other ticket, and it gets routed and prioritized correctly.
How fast can you disable access when someone is terminated?
As soon as HR or the employee's manager tells us. Termination requests get handled immediately, not queued behind routine tickets — accounts, email, and remote access are disabled the same day, often within the hour.
Do you handle onboarding and offboarding for remote and hybrid employees?
Yes. We support in-office, remote, and hybrid teams across Orange County, Los Angeles, and nationwide. Remote onboarding includes shipping and remotely configuring hardware; remote offboarding includes revoking access the same way — no physical presence required.
What happens to a departing employee's email and files?
That's your call. We can forward or archive the mailbox, transfer file ownership to a manager, or preserve everything in place for compliance or legal hold — whatever your retention policy requires. We just make sure nothing gets deleted by accident and nothing stays accessible by accident.
Can this help with compliance audits?
Yes. Every account created and every access change we make is logged with a timestamp, which gives you a clean audit trail for HIPAA, CMMC, SOC 2, or cyber-insurance questionnaires that ask how you handle departing employees.
Works Best Alongside Managed IT
Onboarding and offboarding are only as strong as the IT environment behind them. Clients on our managed IT services get every new account enrolled in cybersecurity protection automatically, new hardware sourced and imaged through our hardware & software procurement process, and can reach our US-based help desk the moment a start date or last day changes.
Already have an internal IT team? Our co-managed IT services let them hand off account provisioning and access revocation while keeping ownership of the environment. Regulated industries like healthcare, law firms, and defense contractors lean on this the most, since a documented offboarding process is often part of the audit itself. Serving Orange County, Los Angeles, and Southern California — plus nationwide remote support.
Ready to Standardize Onboarding & Offboarding?
Already a client? Send start dates and departures through the Cyber Lifeguard Chat Bot. Not yet a client? Let's talk about how it fits into your IT support.
